What is the order for conducting a business meeting?
Answer:
Start off by deciding who are the right people to invite, for the specific purpose for which you have called the meeting. Set an appropriate length - too long will lose people's attention.
Then formulate an agenda (remember to allow for any other business, or AOB, this is usually at the end, and helps you to stay on course). Circulate this prior to the meeting where possible, but provide copies at the meeting as well.
Introduce yourself, and others that may not know each other, and outline what you hope to achieve from the meeting.
If you are running the meeting, make sure you stick to the topics, and make notes (or have someone take minutes for you) as you go along, noting the pertinent points of the discussion. If you can't reach agreement, move on, and revisit the topic with those directly concerned another time. You should note any actions, and to whom they belong as well as when they should be delivering the result by,
Once all items on the agenda have been discussed, invite any other business, and keep notes on this. If another meeting is necessary, set a time, date and location.
Thank people for their attendance.
Circulate the minutes of the meeting to all attendees (and non-attendees), this reinforces what was discussed, and reminds people to do what they agreed!
first read the minuites of the last meeting and deal with old bussiness then treasures report then any other commitie reports then new businness. then close and set date for next meeting.
